                    Spring Conference 2009 Vendor Information

         We Are Having Our Annual Spring 2009 Conference
                   “Vendor Fair” on May 20th and 21st , 2009

The NYSLGITDA will hold our Annual Spring Conference Vendor Fair in Saratoga Springs, NY, at the Saratoga Hotel & Conference Center/Saratoga Springs City Center on May 20th and 21st, 2009. We are expecting more than 80 county and other local government CIOs, IT Directors and Senior Staff to attend (we had 85 attend in 2008.) We are looking for exhibits of vendor systems, products, services and applications that provide government IT personnel with valuable, relevant displays that apply to local governments. This is the perfect chance to demonstrate your products to the people who really make the technology purchasing decisions in NY State local governments.

The Vendor Fair is limited to the first 70 vendors that register, act quickly as this event traditionally sells out quickly.

Event Options
1. Vendor Fair $1400.00
Includes attendance for up to 3 vendor representatives to the following events
On Wednesday, May 20th,
Social hour, dinner, entertainment and hospitality suite with attendees
On Thursday, May 21st,
10x10 Booth at Vendor Fair from 9:00 AM to 2:00 PM and lunch within the Vendor Fair

2. Vendor Fair and Fall Conference attendance $1800.00 (save $200.00)
Includes all events in the previous option plus attendance for one vendor representative at our 2009 Fall Conference which will be held in Watkins Glen on October 8th 2009. Typically the price of the Fall and Spring Conferences totals both the Spring and Fall 2008 Conferences totals to $2,000.00. So save $200 and lock in the price with this alternative pricing.

3. Vendor Sponsorship Opportunities, includes Vendor Fair and Fall Conference
Dinner on Tuesday, May 19th or Thursday, May 21st $7500.00
Lunch on Wednesday May 20th $5000.00

Includes all events in the previous two options the following extra benefits:
    preferred “at the entrance door” location for your vendor booth
    exclusive access to attendees during your sponsorship event
        - no other vendors are allowed at the sponsored events.
    2 tables at the sponsorship event for hand-outs, information display,
     etc.
    up to 4 representatives at both the sponsorship event and vendor
     fair event
    For dinner sponsorships, the pre-dinner social hour and hospitality
    suite are included for your representatives.

Please register with Sylvia Wohlfahrt as soon as possible at (845) 340-3307, or e-mail her at swoh@co.ulster.ny.us. Tables are limited to the first 70 vendors responding. We will create a waiting list, just in case a vendor does not pay or has to drop out. Note: The organization will be providing door prizes to keep attendees in the vendor area.

Payment

After Registering you will receive and invoice with payment instructions. We accept check or credit card payments via PayPal.

Payment is due no later then April 17, 2009. If we do not receive your payment by the April 17, we will be moving to vendors on the waiting list!!! No cancellation refunds after April 17.

Shipping / Hotel Information

All shipping/receiving or storage must be arranged with the Hotel, City Center or Pipe and Drape Company directly. Electricity will be available at each table (20amp). Vendors must make all hotel reservations directly with the hotel (http://www.thesaratogahotel.com/ ) at normal hotel rates. We do have a vendor block of 100 rooms for Wednesday night.
Please notify the hotel when reserving a room that you are a vendor for NYSLGITDA show!! This really helps the Association. Thanks.

Anticipated Conference Agenda

May 20th & May 21st
The NYSLGITDA members will be attending sessions prior to the Vendor Social on May 20th and after the Vendor Fair on May 21st. These sessions will be closed to vendors except for the vendor that is sponsoring lunch on the 20th.

Wednesday, May 20th
There will be vendor sponsorship for Lunch
3:00 – 6:00 PM Vendor setup in the Saratoga Springs City Center
5:30 – 6:30 PM Social
6:30 – 9:00 PM Dinner with Attendees – Entertainment (up to 3 attendees per vendor)
9:00 – ?????? Hospitality Suite – Vendors are invited to attend.

Thursday, May 21st
There will be vendor sponsorship for Dinner
7:00 – 9:00 AM Breakfast
8:00 – 9:00 AM Continue Vendor Setup
9:00 – 2:00 PM Vendor Fair (3 attendees per vendor)
2:00 – 3:00 PM Vendor Tear-Down.
